As a vital member of the WateReuse Association team, the Events Coordinator is responsible for logistical arrangements and planning for the Annual WateReuse Symposium, state section meetings, and other periodic meetings, events, and workshops. The ideal candidate will have excellent customer service skills and experience working in meetings and events. The position reports to the Director of Conferences & Events.
Core Duties and Responsibilities
Assist in the planning and execution of the Association’s event offerings.
Coordinate pre-event meetings and calls, including scheduling, providing summaries, and performing follow-ups.
Compile and maintain a master schedule and meeting preparation calendar, showing tasks, responsibilities, and deadlines.
Speaker management for the Annual Symposium including collection of bios, headshots, presentations, and other event-related logistics and follow ups.
Produce name badges, signage, and onsite materials.
Maintain the inventory of events-related items and order supplies and promotional items.
Organize and schedule shipment of materials to and from events.
Plan and coordinate event details including social events, off-site activities, hotel arrangements, transportation.
Perform onsite registration and logistics duties to include registration desk support, mic running, set-up/tear down/packing of materials, and general event assistance as needed.
Contribute creative ideas to program planning.
Work Environment
Our hybrid work environment includes 2 days in-office in Alexandria, VA and 3 days telework. Some travel is required.
Essential Qualifications, Skills, and Experience
Bachelor’s degree.
2+ years’ experience planning and executing events.
Excellent administrative, organizational and time management skills with concurrent projects.
Advanced computer skills including proficiency in MS Word, Excel, Outlook, PowerPoint, and database/event management software.
Ability to learn new technologies and processes quickly.
