Reporting to: Director of Facility Accreditation Services
This position is responsible for working collaboratively with the facility accreditation department team to provide administrative support and coordinate the day-to-day operations of the accreditation programs.
Provides administrative assistance to the department, including phone coverage, checking and processing e-faxes, scanning and organizing documents, printing reports, letters and certificates, managing inventory and ordering office supplies and certificates for the department.
Serves as the initial point of contact for the department assisting with basic inquiries via phone and email, including providing information on accreditation requirements, application process and general department policies as outlined in the Facility Accreditation Guides.
Coordinates the accreditation process, including initial accreditation and reaccreditation, by managing timelines, expiration planning and ensuring compliance with requirements.
Responsible for coordinating the entire application process for the facility accreditation department, including receiving and reviewing applications for completeness, verifying eligibility requirements, communicating with applicants to request additional documentation if necessary, processing application fees, updating database, and notifying applicants of their application status and next steps.
Communicates any application issues, discrepancies, or concerns with the manager to facilitate prompt resolution and to ensure the accuracy and integrity of the application process.
Responsible for coordinating the production and mailing of reaccreditation packets, sending certified mail reminders and final notices, processing returned mail and updating records in the database as necessary.
Processes certificate reprint orders, including processing payments.
Assists with the preparation of reports, presentations and other material related to the accreditation process.
Assists manager with analyzing data for satisfaction survey project.
Performs other duties as assigned.
Bachelor’s degree with two to three years of related professional experience
Excellent written and verbal communication skills
Excellent interpersonal skills and positive hard-working attitude

Strong initiative required
Highly organized and detail-oriented
Ability to multi-task and prioritize work assignments
