The Florida Medical Association is located in Tallahassee, Florida. The position is amicable to be fully remote for candidates not located in Tallahassee, Florida.
As the Director of Database & Membership Operations, you will collaborate closely with the Deputy Director of Operations to oversee the administration, performance, integrity, maintenance, and security of our association management system (iMIS). Your key responsibilities will include ensuring data accuracy, optimizing performance and automation, managing data and system integrations, and providing technical support to both internal teams and external users. Additionally, you will partner with our operations team, as well as other FMA departments, to enhance membership processes, support education programs, webinars, and meetings, and drive member engagement while ensuring the seamless execution of business operations.
Key Responsibilities:
Database Administration:
Manage, maintain, and support the iMIS database in collaboration with the Deputy Director of Operations, including:
Configure and customize the association management system (AMS) to meet organizational needs, including workflows, automation, analytics, reports, queries, dashboards, and other visualizations.
Ensure data accuracy and integrity through audits, validations, and routine checks.
Execute membership and licensure imports and updates to maintain efficient and current operations.
Maintain and enhance systems by analyzing business objectives, preparing action plans, and collaborating with staff to address user needs and improve productivity.
Support the integration and maintenance of the database with other systems and platforms.
Analyze data trends and provide insights to inform business decisions.
Develop and enforce data management policies and procedures.
Create and manage custom reports, dashboards, and queries to support organizational needs.
Membership Operations:
Provide deliverables and support for ongoing membership marketing efforts to both current and prospective members, including:
Manage membership data by matching and importing group rosters, performing mass updates to the database and billing information, and ensuring data accuracy through validation.
Design and create custom online forms with conditional logic and integrations to streamline data collection and ingestion.
Oversee the technical development and management of the FMA’s Learning Management System (LMS) and InReach, including support for data synchronization, importing, and reporting of licensure data, as well as designing and developing digital reporting and transcript solutions.
Create, edit, and update membership invoices using Visual Studio and SSRS.
Assist in crafting membership, education, and marketing email communications, ensuring accurate targeting and data sets.
Develop and implement strategies to enhance member engagement and retention.
Create and oversee online registration, reporting, and printed collateral for FMA events.
Qualifications:
Bachelor’s degree in computer science, Information Technology, or a related field, or equivalent work experience.
Self-motivated learner with a strong commitment to continuous improvement, actively seeking opportunities to acquire new skills, stay updated on industry trends, and enhance performance for organizational success.
Proficiency in SQL and database management tools.
Proven experience with iMIS database administration, including customizing and troubleshooting.
Proficiency with leveraging online form building software such as JotForm
Experience building workflow automation including custom platform integrations with software such as Zapier.
Excellent problem-solving skills and attention to detail.
Strong communication skills and the ability to work effectively with various stakeholders.
Preferred Skills:
Experience in a nonprofit or association environment.
Strong understanding of membership management principles and practices.
Administration and management of Microsoft 365 Business cloud environment.
Expertise in managing and troubleshooting endpoints using RPM, Microsoft Administrator, IT, and deployment software.
Proficient in utilizing and leveraging SQL Server Management Studio (SSMS), SQL Server Reporting Services (SSRS), and SQL Server Integration Services (SSIS).
Current knowledge of cybersecurity standards and best practices.
Proficiency in coding languages such as JavaScript, HTML, and CSS.
