The American Association of Port Authorities (AAPA), a Washington, DC trade association, which serves as the meeting place- and voice of the Western Hemisphere seaports, is seeking an Executive and Operations Assistant
The Executive & Ops Assistant will report to the CEO; while working across the heads of three departments, a Board of Directors; vendors; and external clients (“members”) and stakeholders.
RESPONSIBILTIIES INCLUDE:
Front and back office functions,
Managing a company-wide calendar,
Arranging CEO travel and meetings,
Overseeing high-level project delegation and timelines, especially those that involve multiple departments,
Managing- and liaising with third-party vendors such as for IT and outsourced HR functions,
Liaising with office landlord, and
Managing supplies.
She/he will coordinate and delegate tasks from leadership to appropriate team members.
This is a service-oriented role requiring a significant amount of cross-functional teamwork, attention to detail, effective communication, and understanding of executive functions. The successful candidate will have experience working with VP, Director, and C-level Executives.
The baseline expectation for this position is 3-5 business days per week in the office near Capitol Hill, depending on the company calendar, with the average being 3-4 days per week in the office.

Bachelor's degree required
4+ years of senior administrative support experience
Advanced proficiency in Microsoft Office, Outlook, and virtual meeting software (Zoom, Teams)
Excellent customer service and interpersonal skills and ability to work with a variety of constituents, including high-level policy officials, leadership of member organizations, contractors, employees, and other parties.
Attention to detail and exceptional organizational skills.
Ability to work as an individual or part of a team based on the needs of each event, program, or project.
