This Project Specialist supports the Technical Activities Department (Industry and Community Development). The position will support organizational priorities and activities within the Technical Activities department to include: working with SME communities and committees, drafting minutes and notes for meetings, maintaining, and updating files and records for multiple groups, supporting pilot programs and special projects as well as university faculty and student engagement. Person should be accurate and detail-oriented and enjoy a fast-paced multi-tasking environment. The Project Specialist must be extremely organized and can work on multiple projects at once, while collaborating with various internal and external customers.
MAJOR FUNCTIONS:
Schedule, coordinate and draft minutes for monthly webinars, meetings, and conference calls across Communities & Committees. Work alongside staff members to oversee assigned projects by communities and specific initiatives.
Assist with agendas and materials and keep accurate notes and records for groups.
Send reminders and final instructions for in person and virtual meetings.
Assist with taking minutes and distribution of minutes.
Coordinate with Event Operations and other SME Business Units as needed.
Assists in preparing schedules, agendas, and proposals.
Support outreach and visibility activities for Awards and Competitions.
Working closely with internal/external partners to maintain awareness of program status and milestones, communicate appropriately with all stakeholders.
Planning and post-meeting support to assist in the development of Community & Committee programs.
Must be able to identify roadblocks alongside problem solving approach.
Works directly with preferred vendors and partners to order any necessary supplies, awards, or prizes.
Other duties as assigned.
MINIMUM EDUCATION, SKILLS AND EXPERIENCE REQUIREMENTS:
High school diploma or equivalent
3 to 5 years of experience working in a customer-facing position
Ability to adapt to new technology and learn quickly
Proficiency with standard business software (Microsoft Suite)
Proven experience meeting and exceeding deadlines
Highly organized, dependable and attention to detail and content accuracy
Self-motivated and ability to work independently
Experiencing working in a team environment
Excellent planning, analytical, and communication skills
Organizational expert able to multi-task and work with many different teams
