What we're looking for: We are seeking a motivated professional responsible for providing day-to-day support to prospective and current exhibitors regarding the exhibition operations. The Assistant: Exhibition Services will maintain up-to-date exhibitor records and provide support to Exhibition Services and Corporate Relations teams.

What you'll do:
Act as primary point-of-contact for exhibiting companies pertaining to exhibition. Assist exhibit sales process with prospective exhibitors. Provide exhibit space confirmation, invoices and other communications upon request.
Assist in technical exhibit space application process and ancillary products/services by maintaining an accurate information in the exhibition management system including company contact information, financial details, and booth specifics. Ensure delivery of up-to-date exhibitor information to official contractors and key staff.
Oversee review and approval of exhibitor activities at the annual meeting, including but not limited to raffles, giveaways, press conferences, VIP morning tours, booth presentations, live scanning, booth photography/videography, etc.
Provide assistance to Senior Manager: Exhibit Operations regarding maintaining an accurate exhibitor listing, exhibitor historical points database, and Personify updates.
In conjunction with registration contractor, coordinate rental of attendee registration data to exhibitors by reviewing/approving mailing pieces.
Prepare materials for moving exhibition operations and services to on-site office at the annual meeting. Assist in on-site exhibition operations at the annual meeting. Provide on-site assistance at the annual meeting.
Maintain historical files, including applications, space changes, cancellations, and other submission forms.
Maintain a procedure manual for departmental activities.
What you'll need:
Customer service-oriented individual with excellent written and oral communication skills. Must be able to maintain professionalism and positive attitude at all times.
Strong attention to detail and excellent organizational skills.
Ability to multi-task with accuracy and thrive in a fast-paced environment.
Intermediate knowledge of Microsoft Office (Teams, Word, Excel, Outlook, and PowerPoint).
Previous experience in tradeshow operations a plus.
General knowledge of Map Your Show, Salesforce, Smartsheet, and Association Management Systems (AMS) is a plus.
Travel is minimal and required once per year to the annual meeting.
