The Coordinator, Marketing & Communications works on promotional plans. He/she coordinates member communications to promote association programs and develops, implements, and integrates AOA marketing and communication messages and material to support objectives, goals, and priorities of the association. The Coordinator is an individual who thrives in a fast paced, high-volume work environment and is a professional who works collaboratively with other AOA staff to coordinate a diverse range of products/services and works to execute integrated marketing strategies. This position assists with the general office administration including, but not limited to, telephone coverage and administrative support.
Primary Duties & Responsibilities include, but are not limited, to: Marketing & Communications
Serves as gatekeeper for communications being sent to AOA members/affiliates.
Coordinates the development of communications and marketing materials as necessary. Duties include:
Collaborate with AOA members volunteers to solicit information
Create, write, curate, and edit content
Integrate messages into marketing and communication material
Assist with the development of campaigns that include integrated print and online communications
Determine target audiences and generate lists in support of activities.
Develops an editorial calendar for e-newsletters. Works with volunteers to curate content.
Assists Manager in execution of Social Media strategy. Tracks trends and distributes activity/engagement reports. Provides data analysis and statistical details to demonstrate the success of AOA’s social media outreach and website trends.
Maintains AOA website and provide content on a frequent basis to support programs.
Responsible for maintaining and communicating organizational marketing and communications schedule. Assists in the development of organizational marketing strategies. Seeks opportunities to create cross-departmental marketing opportunities that reduce costs.
Assists with vendor relations to ensure a positive work partnership that adheres to established budgets and timelines.
Helps support the Technology and Communications Subcommittee. Participates in other committees/taskforces to help support promotional efforts and achieve revenue goals.
Social Media and Website Management
Writes and oversees digital content to communicate and advance overall AOA strategic objectives.
Provides reports, analysis, evaluation, and recommendations for website activity/engagement and e-mail marketing campaigns.
Manages website maintenance process, ensures accuracy, consistency, and functionality throughout site, updates content, and reviews SEO. Tags content for cross promotions. Monitors and analyzes site performance (e.g. traffic, conversions).
Works with internal and external stakeholders to ensure website content is consistent, up to date, and aligns with association needs.
Uses social media channels to drive results.
Project Management
Develops schedule and organizes interviews for podcast episodes.
Participates in interviews, edits files, and publishes episodes. Provides reports to key stakeholders and explores new opportunities to expand podcast reach.
Financial Accountability & Administrative Duties
Establishes and maintains updated policies and procedures related to duties.
Assists Supervisor with budget development and fiscal performance within Development and Marketing/Communications.
Performs other duties as assigned.
Qualifications
Bachelor’s degree or relevant work experience.
2-4 years progressive experience in a non-profit organization.
Strong computer skills including proficiency in using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Publisher), and social media (Instagram, Twitter). Knowledge of WordPress and Salesforce and Pardot preferred.
Must be highly self-directed, well-organized, possess excellent attention to detail, be disciplined, able to multi-task and comfortable completing tasks with minimum supervision
Strong organization/decision-making/time management skills to effectively adhere to shifting priorities and deadlines.
Ability to work under pressure with an eye on the big picture and attention to details
Exceptional written and verbal communication skills, willingness to learn, and strong work ethic required.

Working Conditions/ Travel
Moderate: 10-15 days out-of-town travel plus approximately 5 in-town weekend meetings. Approximately 10-12 evening conference calls.
