The Rheumatology Research Foundation was founded by the ACR in 1985 as a 501(c)(3) charitable organization. The ACR and Foundation have a management agreement, whereby the ACR provides the Foundation with a variety of management services, including staffing, access to and use of computer and other equipment and appropriate space at the ACR's Executive Office.
POSITION DESCRIPTION
TITLE: Specialist, Exhibit and Sponsorship
STATUS: Non-Exempt
LEVEL: Specialist
DIRECT SUPERVISOR: Senior Specialist, Expositions & Sponsorships
POSITION DESCRIPTION SUMMARY:
The Specialist, Exhibit and Sponsorship is responsible for supporting the strategic relations team with implementation of corporate activities, including but not limited to exhibits, sponsorships and industry supported sessions.
DUTIES & RESPONSIBILITIES:
- Serve as the main contact for general inquiries for the Strategic Relations team
- Monitor and respond to emails in the general exhibits email box
- Monitor and respond to phone calls in the exhibits voicemail box
- Assist with the implementation of activities at the ACR meetings. Duties include, but are not limited to:
- Collect and manage giveaway and activity request forms
- Assist with the collection of materials for the implementation of industry supported sessions, sponsorships, and exhibits
- Manage the on-site activities of the Innovation Theater
- Coordinate the department photography request list
- Coordinate department shipping of materials to meeting
- Track payment process for participating companies including, invoicing, tracking payments, follow-up on balance due for exhibits, sponsorships and industry supported sessions
- Review and approve affiliate event requests
- Coordinate department signage requests
- Maintain Strategic Relations department database
- Update product pipeline
- Update company contacts
- Work with accounting staff to issue invoices, track income, record and process payments/cancellations, and follow-up on outstanding payments
- Travel to fulfill job responsibilities as necessary
- Assume any additional responsibilities as requested by Senior Specialist, Expositions & Sponsorships, Sr. Specialist, Sponsorships, Director, Corporate Relations and Sr. Director, Strategic Relations.
QUALIFICATIONS:
- Bachelor’s degree or equivalent experience in association management.
- Experience preferred in the area of sponsorships and exhibits, and ability to engage in nuanced environments with corporate
- Minimum two years of experience in program management and implementation
- Excellent interpersonal skills with the ability to interact with volunteers, staff, and external stakeholders in a professional, diplomatic manner
- Organized and detail-oriented self-starter with demonstrated ability to set and manage multiple priorities and work independently while functioning as part of a cooperative team
- Exceptional verbal and written communication skills
- Advanced knowledge of Windows Operating Systems and Microsoft Applications
