This position interacts with current CASE Educational Partners and other key external
stakeholders to both sell, confirm, and fulfill sponsorship and exhibitor commitments – both prior to and during district conferences. The Manager, Sponsorships & Exhibits develops valuable and trusting relationships that strengthen engagement within and across CASE. This position will serve as the main contact between the corporate relations and district relations departments and CASE volunteers.
The position will also provide additional support for the corporate relations department to
include sponsorship sales/fulfillment, Educational Partner dues fulfillment, reporting, and onsite coordination, as needed.
ESSENTIAL FUNCTIONS:
The core functions of this position include but are not limited to the following:
Program/Project Management
• Collaborate with the Director, Corporate Relations in implementing marketing strategies
that drive retention and growth of conference sponsors and exhibitors. Serve as the key liaison with the Marketing and Communications Division (MarComm) for onsite collateral material (onsite exhibitor listing in program, signs, etc.), conference prospectus creation,
and review of all marketing collateral for accuracy.
• Ensure effective and timely communication with CASE colleagues, sponsors/exhibitors, and vendors regarding exhibit show details and deliverables. Ensure exhibit show details are available as early as possible for all stakeholders to allow for efficient planning and manage the adherence to the exhibitor kit rules and regulations.
• Manage the online exhibits registration process for CASE district conferences. Promote the use of and be a subject matter expert for the exhibitor management system (EMS).
Provide excellent and professional customer service to companies who request assistance with online registration to ensure a smooth transition for online payments for exhibits and sponsorships.
• Manage the exhibits for all CASE district conferences. Collaborate with the show decorator in the floorplan creation, the Fire Marshall approval process, and overall show decorator’s responsibilities from creation through implementation of the approved plan.
Manage all onsite logistics.
• Create a process that ensures that all conference information is accurate (i.e., complete list of exhibitors/sponsors and corresponding information for use online and in print, advance registration and mailing lists, etc.). Manages onsite show logistics in conjunction
with the Director, Corporate Relations and volunteers, where appropriate. Assist in the development and distribution of evaluation instrument and analyze results.
• Manage renewal and follow-up process for district conference sponsors and exhibitors.
Ensure invoices are created, where appropriate, and monitor/track payments received.
Ensure the accuracy of records in CASE’s Association Management System (Personify) and any other platforms or networks used by CASE.
• Collaborate with the Educational Program Managers and district conference volunteers to communicate status of sponsorships, exhibits, and advertisers, where appropriate.
• Accurately reconcile monthly financial statements against the annual budget tracking sheets of exhibits and sponsors to ensure accuracy of accounts receivables. Promptly follow up on outstanding balances.
• Collaborate with the Vice President, Strategic Partnerships and Director, Corporate Relations on proposals with global educational partners and prospects to include advertising opportunities.
• Support the Director, Corporate Relations on special projects that enhance the efficiency of the department.
Fiscal Management/Budget Responsibilities/Judicious Use of Resources
• Exercise fiscal responsibility in the use of all CASE resources.
• Track and manage department budget expenditures and coordinate with finance and accounting to ensure prompt payment of invoices.
Liaison Responsibilities:
• Serve as the department liaison to MarComm ensuring accuracy in all external communications that highlight district conference sponsors and exhibitors.
• Serve as the department liaison with Finance and Accounting to ensure prompt payments of all sales invoices.
• Serve as the department liaison with Volunteer Relations to ensure that actions andprocesses align with protocols.
- Exhibit appropriate leadership toward and work cooperatively and supportively with all
volunteers with whom this position has contact, including CASE’s volunteer leadership.
Collaborate with CASE colleagues in all parts of the world to ensure the best sharing of effective practices.

Education and Experience:
• Five (5) or more years of experience in business development or client management required, or an equivalent combination of relevant experience and education/training required.
• Experience working with higher education institutions broadly, associations or with a vendor serving the advancement community preferred.
Skills and Abilities:
• A demonstrated interest in advancing education in the not-for-profit sector.
