We are seeking a Meetings & Events Program Manager with a strong background in project management and deep experience managing vendors/sponsors for online, in-person and hybrid events. You will be responsible for supporting the design and execution of events, such as AACE’s Annual Meeting, educational events, regional meetings and leadership retreats. Virtual and hybrid events are the new frontier, and we are looking for a change-maker with a mix of both technical skills and business acumen who takes initiative and drives towards impactful experiences!
What You’ll Do:
Drive project execution by managing partner and stakeholder communications and holding project teams accountable to timelines and deliverables.
Develop and execute a detailed plan for delivering small- and large-scale events, including hosting internal kickoff, production timeline, staffing, run-of-show, sponsorship management, logistics, and engagement experiences.
Be the technical point lead for building virtual/hybrid events on chosen digital platform.
Foster relationships with corporate industry partners to maximize their involvement and ROI in AACE events.
Lead execution of exhibit and sponsorship deliverables to ensure appropriate fulfillment.
Develop and maintain event website and mobile app for events and any other materials required.
Provide management support of vendor partners, including exhibit and sponsorship sales, housing and registration, digital event solutions, general service contractor, and audio-visual services.
Support the Education Team regarding program content and speaker management for all meetings.
Assist Director of Meetings to work with Finance Team in managing all fiscal business planning, budgeting and reconciliation of events.
Collaborate with Marketing Team on promotion of events, website content, attendee emails, and marketing tasks.
Work with Governance Team and various committees as they relate to event curation and implementation.
Serve as staff liaison to the Awards Task Force, including scheduling meetings, preparing materials, taking and distributing minutes, and managing the submission and review process.
Who you are:
3-5 years’ experience in meeting planning, hospitality, pharmaceutical education or similar work-related experience.
Bachelor's degree in marketing, business, communications or related field.
Proficiency in MS Office (especially Excel), SharePoint, Wrike, Cadmium, Cvent and Salesforce.
Creative, innovative, resourceful, with a get-it-done mentality.
Exceptional project manager with experience gaining team consensus and driving deliverables.
Ability to handle competing priorities seamlessly and efficiently prioritize tasks.
Detail oriented, highly organized, team player who thrives in a fast-paced environment.
Flexible, dependable and able to travel and staff meetings as needed, as well as attend evening committee calls with physicians.
