This lively, northern New Jersey, woman-owned, events and association management firm is seeking a resourceful, tenacious, program manager, interaction with clients, and the opportunity to travel.
This salaried position will require travel to conferences and events (approx. 15-20%) post-pandemic.
Essential Job Functions
Meetings and Events – In--person
Site search and RFP coordination
Review, communication and negotiation of contract terms
Budgeting and ordering Food & Beverage as well as audiovisual needs
Help formulate meeting flow and agendas
Track registrations and payments
Coordinate and confirm guest speakers
Work with hotels and travel agents to ensure client satisfaction
Manage and execute programs, digitally, onsite around the country for clients and in the Bergen County NJ area for women’s networking group
Meetings and Events – Digital
Manage speaker report and training
Schedule prep calls
Participate/lead tech checks
Work closely with and manage event vendors;
Collect and oversee repository for event collateral
Distribute calendar invitations
Work closely with the client on meeting objectives and status
Support various writing needs such as Speaker Letters, event information packets, agendas, and other materials as requested
Main POC for day-of-event support and logistics
Main POC for inquiries and questions
Production/Operations
Set up conference calls, set reminders and take notes on calls
Purchase supplies for events and office
Oversee and develop meeting collateral including badges, signage, and speaker presentations
Scan receipts, invoices and materials for digital storage and client billing
Packing and shipping materials to/from events
Systems
Teamwork Project Management Wild Apricot, Naylor, YourMembership or similar ASM Cvent Google Drive Gmail for business – email platform Digital meeting platforms – Zoom, GoToWebinar, BlueJeans, On24, 6Connex, EventMobi, Hopin, or similar
Skills
Comfortable working in a team environment, while confident in your abilities to work independently Customer service-oriented Successful at managing and prioritizing time Tech savvy, with a high aptitude for adapting to new technology Strong writing skills with an emphasis on grammar and format Demonstrated skills in Word, Excel, PowerPoint and other business tools
Requirements
Location is currently remote Time commitment is 40 hours per week but can be more, depending on workload Travel is required approximately 15-20% 3 to 4 years of meeting/event experience; marketing and association management experience, CMP or PMP certification a plus
