Reporting Relationships: Reports to the VP, Membership & Meetings
General Position Responsibilities
NSSGA seeks a motivated and high performing recent grad to join the Membership & Meetings team. The meetings coordinator plays a critical role in supporting the functions of the meetings, education, and exhibits departments. This position will manage multiple, fast-paced projects and have exceptional organizational and communications skills. This role requires problem solving, troubleshooting, follow-through abilities and big picture thinking with an obsession in the details. The perfect candidate must be able to work well both collaboratively and independently and be invested in the success of the department and thus the association.
Specific Duties:
Ability to manage and work on several projects simultaneously while working with stakeholders on day-to-day needs and updates
Provides support for 3 meetings within of a one-year annual meeting cycle from start to finish
Registration lead for NSSGA events to include: works with third-party registration vendor for set-up; runs registration reports; generates badges and onsite badge scanning; ensures confirmation letters are sent to attendees; member support related to registration; digital signage-information booths; manages on-site registration as needed.
Admin and logistical support for meetings and events to include: speaker coordination, assembling and shipping of all meeting materials, special tour set-ups, mobile app management, and coordination of A/V and exhibits as required, including on-site support for events as necessary.
Provides administrative support for committees (Nominating, Membership, M&S Board, M&S Executive, Young Leaders and Meetings & Education) including: prepare and distribute meeting minutes, agendas and attendance lists. Prepares meeting folders and coordinate conference calls.
Ensure projects are on track and on budget while keeping project stakeholders up to date and well informed of their progress
Provide input and support where needed
Responds to inquiries from members and nonmembers on association activities and programs.
Assists with the presentation development process related to tradeshow education program to include tracking speaker information, presentation status and handouts.
Performs administrative tasks for the meetings & membership team as assigned, including, but not limited to: answer incoming calls; prepare correspondence; schedule meetings; mailings; photocopying; travel arrangements and other duties as assigned.
Proactively provide professional, responsive, and courteous support to our members with a demonstrated ability to resolve challenges while sometimes working under time constraints.
Background/Education Requirements:
College degree and/or equivalent work experience. Prior experience with Abila’s netForum or other membership database preferred and expertise in Microsoft Office.
Experience Requirements:
Entry level to a minimum of 1 years of administrative support experience, meeting planning, nonprofit or association experience preferred
An understanding of basic marketing concepts.
High performing individual with a great attitude and a ‘get-it-done’ mentality
Ability to interact well with colleagues, members and external contacts.
