Summary of Position:The event coordinator supports the logistical planning and management of educational programs. The event coordinator will work closely with the manager of events, the director of operations and events, and other colleagues to produce events and create opportunities for compelling engagement. Responsibilities:
With general oversight from the Manager of Events, lead the logistical planning for regional events. Responsibilities include, but are not limited to, catering and audiovisual orders, meeting space assignment and function sheets, room block management, tour development, and conference transportation.
Travel to and lead onsite management of regional events. Travel as requested to support other educational programs.
Assist Manager of Events as needed in researching potential venues for regional events, the Planning Institute, and newly developed SCUP programs, and maintaining a database of conference venues.
Create and maintain regional events in database and webpages.
Review and proof regional publication materials and serve as backup for creating program publications.
Update and maintain regional conference history, including attendance reports.
Work closely with regional councils and conference committees. Schedule conference calls, take minutes, post agenda, maintain calendars.
Manage scholarship program for regional events and the Annual Conference. Create the application site, track applications and deadlines, maintain communication with applicants, and manage registration and/or reimbursement for scholarship awardees.
Develop and maintain documentation of team policies and processes.
The ideal candidate will have the following qualifications and demonstrated experience:
Bachelors degree with 2-3 years meeting experience
Previous work experience for a volunteer-based organization (Trade or Association) is a plus
A strong sense of integrity and the temperament to handle confidential personal and financial information discreetly
Ability to effectively collaborate internally and externally in order to achieve organizational goals.
Aptitude and comfort using new technologies and apps
A project management mind-set. Strong attention to detail. Ability to deftly manage competing priorities and switch from micro/macro and short/long term thinking quickly and effectively.
Strong conflict resolution skills with regard to vendors, conference committees, volunteers, attendees, and colleagues.
Ability to travel to multi-day events, including nights and weekends, through out the year
