Develops, manages, and promotes all facets of IFAI events, with the Conference Management team, using past shows, best practices, and new ideas brought by management and committees to make decisions that improve attendance, booth traffic, and the overall event experience. Develops strategies to create relevant and productive events with specific focus on driving value and ROI for attendees, exhibitors, and IFAI. Events responsible for include IFAI Expo, Geotechnical Frontiers, Advanced Textiles Conference, Outlook Conference, and a number of IFAI Division expositions and conferences. This position is an active member of the IFAI Leadership Team, which reports to the President.
Essential Duties and Responsibilities:
Develops the overall event planning timelines, and oversees the formation and goals of education programs and event planning, not exceeding the event budgets
Negotiate and manage contracts with vendors that serve all large-scale aspects of IFAI shows and events. Includes vendors for setup-up/take-down, housing selection/room blockage, event apps, audio-visual services, call centers, and event convention centers
Manages all aspects of event show floor including planning of layout and furnishing, working with vendors, and on-site troubleshooting, set-up, and takedown.
Supervises the daily activity and goals of Conference Management department staff including the delivery of performance reviews, hiring, coaching and counseling, and employee development
Works closely with IFAI's Editors, Divisions Manager, and Membership team to determine educational content
Manages and participates in advisory committees to develop educational formats, procure speakers, and determine best practices for event structure
Researches, develops and recommends event show budget to the President using previous show budgets, current pricing information, location, goals, and program design
Supervises speaker selection process, including recruitment, negotiation, on-going communication, staff training, preparation, contract management, expenses, review, processes, surveys and follow through
Obtains training and reference materials, evaluation procedures, multimedia audio visual resources and other educational materials for use at educational events
Maintains accurate and relevant records including, but not limited to, files of speakers, past educational programs, attendance, budget, and experience records
Develops, prepares and recommends venue RFP's to the President. Participates in event site visits and final selection
Oversees the selection of all event details including of food, rooms, show floor for exhibits, and other necessary requirements
Manages and communicates logistics at onsite show including educational programs, signage and speakers etc.
Strategizes with Marketing and Design Director to develop marketing plan and campaigns to promote events including on-site signage for events including education programs and overall event attendance, and timelines.
Works with Marketing and Audience Development Manager to research, evaluate, and select appropriate audiences to promote shows and target new attendees.
Organizes necessary website updates and changes working with Marketing and Web departments
Develops and recommends social networking events to increase attendee participation and satisfaction in events and shows.

Education, Experience and Skills:
Minimum 4 year college degree in marketing, business, hospitality or related field
At least 10 years of related work experience
Previous experience managing budgets of $3 mill +
Previous work with volunteer committee or association/non-profit
Previous work experience managing event/tradeshow show floor
Strong attention to detail
Excellent oral and written communication skills
Ability to work independently and within a team
Ability to organize multiple tasks
Interpersonal skills to develop and retain relationships with internal departments, external organizations, vendors, and speakers
