SUPERVISOR: Director of Conferences and Special Events
The Meetings Coordinator position serves as the primary individual responsible for advanced and on-site registration for the association’s meetings and conferences. The Coordinator will assist in other meeting planning responsibilities as assigned.
Primary Job Functions
Manage and processes registrations for five major conferences ranging from 200-700+ each or 2,500 to 3,000 registrations annually, as well as several smaller committee meetings, seminars and webinars.
Coordinates with the Accounting Department to collect registration fees, process invoices and review event setups in Protech AMS.
Reviews, prints and organizes conference badges and creates conference rosters using Word
Pulls attendee ribbons for badges and creates attendee rosters.
Provides detailed registration reports with YTD comparisons
Manages the on-site registration center
Coordinates with the Digital Manager to establish online registration processes, social media marketing and member engagement for AFSA conferences and events
Develop all back-end components of conference and event setup
Assists with pre-meeting planning, including reviewing and editing the program and marketing materials, conference app, working with speakers, and other logistical needs as assigned.
Keeps conference materials ready by coordinating requirements per conference; inventorying stock; placing orders; verifying receipt.
Will also provide general on-site meeting support as directed by the Meetings Department.

Assist in updating the association’s membership database.
Respond to incoming correspondence from internal employees, member and meetings email inboxes
Travel required at least 5-7 times per year for 3-7 days each.
