JOB SUMMARY: The Sponsorship Coordinator is responsible for all aspects of coordinating the fulfilment aspects of the SOA’s consolidated sponsorship programs. The SOA offers various types of sponsorship options to companies in the insurance and financial industries.
Provide quality account management service to sponsors as primary liaison to confirmed sponsors
Communication with sponsors to fulfill sponsorship benefits, e.g., obtain logo for insertion in event materials, send attendee mailing lists, etc.
Work with vendors to identify items required under sponsorship arrangements, e.g., order lanyards, meeting folios, etc.
Track signed contracts and ensure all payments are made and processed
Work with Meeting & Events to ensure fulfillment of sponsorship benefits, e.g., send sponsor brochures for insertion in meeting folios, ensure sponsors receive reception invites, etc.
Work with Design team to ensure sponsors are appropriately recognized within SOA-branded collateral and materials
Manage process to offer first-right-of-refusal to previous year’s sponsors
Follow-up after the end of events; obtain feedback and provide recommendations for improvements
Prepare end of the year sponsorship reports, including tracking of revenue per event
Maintain and update contact information for sponsors and potential sponsors
Assist in collating market research on companies as potential sponsors
Provide support for the marketing of sponsorships
Other duties as required or requested.
EDUCATION AND EXPERIENCE REQUIRED (an equivalent amount of training, education and experience will be considered):
Requires Bachelor’s degree
Requires one-two (1-2) years project management or administrative experience
Experience in managing projects, keeping schedules and ensuring the smooth adherence to processes
Experience in supporting sales or sponsorship fulfillment activities a plus
Experience working with external clients a plus
Requires intermediate-to-expert level knowledge of Microsoft Office software, including Word, Excel and PowerPoint
KNOWLEDGE, SKILLS AND ABILITIES including competencies that may be representative but not all inclusive of those commonly associated with this position.
Sound organizational and project management skills in creating schedules and ensuring projects are progressing in adherence to set timelines
Strong attention to details required
Excellent relationship skills in liaising with various stakeholders
Exhibit strong initiative and the ability and willingness to undertake different projects
Strong discipline in adhering to deadlines
