The Genesis Foundation for Children seeks an experienced Special Events Manager to plan and execute 10-12 successful fundraising events per year.
The Special Events Manager will work under the direct supervision of the Director of Events on the annual calendar of events and other activities to further the mission of the organization.
All Genesis Foundation staff members are responsible for working enthusiastically and energetically toward the annual fundraising goal. The work is often varied so we are looking for candidates who have shown flexibility and multi-tasking capabilities in their current and prior jobs.
The Special Events Manager will be expected to represent The Genesis Foundation in a professional and ethical manner with all of our constituents, including Directors, clinical staff, patients and their families, volunteers, and donors. Work for events on occasional weekends and evenings is required. Several events require travel of 1-3 hours by car.
RESPONSIBILITIES The Special Events Manager will be responsible for all events under the direction of the Director of Events. The SEM will be the lead on two major events as well as the management of the Young Professionals Committee and their two annual Mixers. The SEM will also be expected to create and execute elements of all fundraising events including but not limited to: •Managing and inputting event registrations, attendee communications, and monitoring attendance •Onsite day-of management of all events and attendance at all events •Logistics management including catering, room setup, etc. •All live and silent auction logistics including donations solicitation, entry/tracking of auction packages in BidPal online software, creating pertinent event materials (signage, etc.) •Venue and vendor relationships, RFPs, BEOs, etc. •Event timelines, staff/volunteer schedules •Working with volunteers at events and recruiting new volunteers pre-event •Pre- and post- event correspondence, wrap-up and future event pre-planning •Attendance at Board of Directors and committee meetings as appropriate •Work with event chairs/committees to identify new participants and new donors •Responsible for working with Development and Communications Specialist to create marketing materials both hard copy and electronic for each event •Creation and maintenance of event webpages and working with Development and Communications Specialist on design elements •Creating and implementing publicity schedule working with the Development and Communications Specialist staff member to implement electronic communications on Constant Contact, and social media •Budget tracking; working with the Genesis Foundation Controller to reconcile all financial matters related to events •Track and enter payments including outstanding payment collections •Identify and assist with 3rd party events The Special Events Manager will work closely with Board members and event chairs and will have frequent personal contact with event participants via phone, email and other forms of communication.
REQUIREMENTS •Bachelor’s Degree is preferred. •A minimum of 5 years of professional experience in events coordination/management •Prior experience in the non-profit sector and/or working with volunteers is desired •Very strong organizational skills; must be highly detail oriented and comfortable working on multiple projects year round while prioritizing and meeting deadlines •Excellent communication skills of all types are essential: telephone, event/social, email and formal writing. •Strong skills with Word, PowerPoint, Excel, Publisher, WordPress, database programs, social media and the ability to learn and manage computer systems. •Familiarity with BidPal, Salesforce, Constant Contact and FirstGiving programs is a plus. •Proven ability to work successfully in a team, with a supervisor, senior staff, Board members, donors and supporters is vital. •Open to feedback and input from the Director of Events and President •Commitment to excellence and a strong sense of mission •Availability to travel for events and meetings on occasional weekends and evenings is required. •Must have his/her own vehicle for transportation to meetings and events. Office parking is provided. •A minor degree of physical labor is required for setup and breakdown of most events, such as lifting boxes, arranging tables, etc.
