We currently have an opening for a Senior Meeting Planner in our Conferences department.
As a member of the Conferences department team that supports the successful execution of ICI’s conferences and events, the Senior Meeting Planner will provide logistical planning for conferences, meetings and events in support of ICI’s internal clients on approximately 10-12 conferences per year ranging in size from 75 to 1400 persons, as well as approximately 50 small committee meetings ranging from 10-75 persons.
MAJOR DUTIES & RESPONSIBILITIES
Act as the primary conferences contact with internal client in supporting meeting planning for ICI’s major multi-day conferences including the General Membership Meeting (GMM) and Tax and Accounting, as well as 4-6 one-day conferences.
Manage logistics for conferences, meetings, and events to include event timelines, budgets, hotel and vendor contracting, rooming lists, catering, event orders, audio visual and presentation production, on-site staffing, transportation, and processing invoices.
Work with senior director, conferences and executive office in planning the ICI Board of Governors and Executive Committee meetings and the annual Leadership Dinner. Manage all logistical aspects of the event as well as DMC selection and contracting, event venues and restaurants contracting, special event production and décor, spouse program activities, entertainment, and speakers.
Research sites and arrange site visits, develop RFPs, and review, negotiate, and finalize contracts for conferences, meetings, and events.
Provide on-site management for conferences, meetings, and events.
Provide conference department and administrative support for other conferences and logistical areas as needed.
Demonstrated proficiency in conference and special event management with strong project management, analytical, and organizational skills.
Strong understanding and experience in all areas of logistical planning including site selection, budget development, hotel and vendor contracting, food and beverage, and audio-visual production.
Customer focused with the ability to work well with various constituencies including Institute members, non-members, attendees, internal clients and staff, and external suppliers and vendors.
Demonstrated ability to build and maintain effective relationships.
Demonstrated ability to work as a team player and to be self-motivated and proactive.
Excellent judgment skills, strong written and verbal communication skills, and ability to build consensus.
Ability to multi-task, prioritize projects, and respond to shifting priorities.
Must be flexible with the ability to travel approximately 6-10 times per year for one to seven days.
Bachelors degree and CMP strongly preferred.
Minimum 10 years of directly related experience in meetings management.
