Volunteer Engagement Manager, Technical Activities Piscataway, New Jersey
Job Summary: The successful applicant will engage and enable the volunteer leadership of the Society’s Publications and Products Committee and Steering Committees for Co-Sponsored Publications. Responsibilities will include providing the critical training and background information necessary to maximize their impact given the finite terms they have in which to serve the Society. Additionally, this position oversees the EDS website updates on all content relating to editorial matters, materials and personnel updates, the organization of the editorial reviewer’s reception & editorial dinner and other editorial related events.
This position will also provide critical support for components of the Conference Business Operations such as the Society’s Technical Co-Sponsorship Program and support for Financially sponsored events including RFP processes and monitoring budget compliance.
Volunteer Engagement: Oversee, manage and execute the planning of the Publications and Products Committee and Steering Committees for Co-Sponsored Publications throughout the year. Preparation and coordination of these activities should be conducted in a manner that promotes an organized and professional environment in which our volunteer leadership can operate. Specific tasks include:
Servicing EICs of Society publications. Key liaison for Journal EIC and editors and Pubs Committee.
Plan logistics for the Committee Meetings including but not limited to, framing the key issues to drive meaningful discussions and agendas, meeting schedules, presentation slide collection from presenters and information distribution.
Facilitate the annual volunteer recruitment and appointment process and maintaining their terms and years of service as well as serving as the staff lead for member and committee engagement to ensure committees execute against their stated goals and charters.
Maintenance of all internal records of Volunteer leadership positions, alerts the appropriate volunteer executive officer when reappointment is necessary and coordinates the distribution of such lists when required.
Provide on-site support to all leadership meetings as required.
Support all other Steering Committee meetings including scheduling, logistics and catering, etc.
Co-ordinate services form outside vendors and receive and prepare invoices for manager approval.
Manage the editorial content on the EDS website: This includes updating with regular frequency any informational changes regarding Publication, Volunteer Committee(s) and Conference updates.
Spearhead Volunteer Committee and internal departments in migration of content to Joomla 3.6 in 2018. Co-ordinate all external/internal committee meetings. Work with Volunteers to determine overall look of EDS website and content/subject matter to host.
Work with Volunteers to establish a broader social media presence on the EDS website, including FB, Twitter, Instagram etc.
Routinely, ensure journal content is updated with release of each publication issue.
Update/keep current Joomla database with current lists of recently appointed Volunteers and their appropriate committees.
Provide general support to the Society Director as needed.
Other Projects/Tasks as needed and General Society Administrative Support.
Conference Business Operations Oversee and manage the Society’s Technical Co-Sponsor (TCS) Program of 30+
Develop and maintain MoU documentation processes to ensure documentation are complete and accurate
Conduct and provide the Society Director and Meeting Conference Planner with requisite data analysis for each new TCS request
Review MoU terms and conditions, negotiate with volunteers/society members and finalize with appropriate approvals
Ensure post-conference deliverables are submitted within the contracted timeframe
Co-ordinate activities with co-sponsoring partners, where applicable
Assist Meeting Conference Planner with RFP processes for financially sponsored events and make recommendations of vendors based on best value to the conference operation.
Ongoing monitoring of budgetary expenses and conference registration totals to ensure the financially sponsored event is meeting financial obligations. Notify Volunteer Committees, Meeting Conference Planner and Society Director of any shortfalls to the financial obligations of the event.
Qualifications Education and Experience:
Bachelor’s degree or equivalent experience required
A minimum of 4+ years of relevant experience
